Elementz Engineers Guild

Privacy policy

How we handle information when you visit our website, contact our team, or interact with our social media accounts.

Last updated:

1. Who we are and what this policy covers

Elementz Engineers Guild Pvt. Ltd. operates elementz.dev. This policy explains how we handle information about website visitors, people making enquiries, and people interacting with our connected social media accounts.

It also covers Elementz Comment Replies, an automation that responds to comments on our Facebook Page, Elementz Engineers Guild Private Limited (ElementzOnline), and our Instagram professional account, @elementzengineers.

Separate agreements or notices may apply to a specific project or service. This policy describes our website, enquiry handling, and social media automation; those additional agreements can explain how we handle information for a particular engagement.

2. Information we process

Website visits and enquiries

When you use our contact form or communicate with us by email or live chat, we process the information you provide. This can include your name, email address, company, telephone number, country, enquiry subject, message, and project details such as the service of interest, project stage, timeline, budget range, and NDA preference.

Contact-form submissions are forwarded to our team by email. Website and infrastructure services may also process technical information such as IP addresses, browser and device details, pages visited, timestamps, and interaction data. The cookies and external services section below explains the integrations used on this website.

Facebook and Instagram comment replies

When Meta sends a comment event to the automation, the information may include:

  • The comment text and its comment identifier.
  • The commenter's platform identifier and username or display name, when provided by Meta.
  • The Facebook Page or Instagram account identifier and related post or media identifiers.
  • Event type, timestamps, and other metadata included in the webhook notification.

We also process the configured reply text, delivery results, and error information. Our n8n comment-reply workflow can store execution records containing incoming event data and the results of reply requests. Technical request logs may contain timestamps, request headers, and the network address of the system delivering the event.

Authorized administrators provide account permissions and access credentials so the automation can communicate with Meta's APIs. If you contact us about privacy or deletion, we process your email address, the information in your request, and any additional information needed to identify the relevant records.

3. How we use the information

We use website and enquiry information to respond to questions, prepare quotations, discuss projects or products, provide requested support, and maintain communication about an enquiry or engagement. We use technical and usage information to understand website use, improve the site, and help detect errors, spam, and abuse.

The comment-reply automation uses event information to identify new comments, apply any configured keyword filter, avoid replying to our own comments, and send predefined public replies and private replies to commenters through Meta. The messages are sent automatically.

We also use operational records to investigate delivery failures, maintain the service, protect the connected accounts, and handle privacy or deletion requests. The current workflow receives comment events and sends replies; it does not import the contents of your entire Messenger or Instagram inbox.

We do not sell your personal information. Data processed by the comment-reply automation is not used to build advertising profiles or train AI models.

4. Cookies and external website services

  • Google Analytics: the website uses Google Analytics to measure visits and interactions. It may use cookies and identifiers and process browser, device, and usage information.
  • Tidio live chat: the website includes Tidio so you can contact our team. Tidio can process chat messages, contact details you provide, and technical information needed to deliver chat. It may use cookies or browser storage.
  • Google reCAPTCHA: our contact form uses reCAPTCHA to help identify spam and automated submissions. Google processes information about the request and browser interaction to provide this protection.
  • Website operation: cookies may also support security and sessions, including administration features.

These services receive information through their integrations with the website. Read Google's Privacy Policy and Tidio's Privacy Policy for details of their own processing.

You can manage cookies and stored website data through your browser settings. Restricting them can affect chat, form protection, or other website features. You can also contact us directly by email.

5. Who can receive the information

Authorized Elementz personnel use enquiry and correspondence data to handle your request. Our email, hosting, analytics, chat, and security providers may process information as needed to provide their services. Our hosting and communications infrastructure may include providers operating in other countries.

Meta provides the comment events and receives the API requests needed to post public replies and send private replies. Public replies can be visible to people who can view the relevant comment thread; private replies are delivered through the platform.

Authorized Elementz personnel and providers operating our hosting or supporting infrastructure may process information as needed to run, troubleshoot, and protect the service. We may also disclose information when required by applicable law.

Facebook and Instagram handle information under their own policies. You can review Meta's Privacy Policy for information about their services.

6. Storage, retention, and security

Enquiry and support information can be retained in our email, chat, and business records while needed to respond to you, manage an engagement, or meet applicable legal obligations. Website usage information is also subject to the retention settings and policies of the providers described above.

Comment-automation data may be stored in n8n execution history, technical logs, and backups. We retain it for as long as needed to operate and troubleshoot the automation, address requests, and meet applicable legal obligations. Retention can differ between execution records, security logs, backups, and request correspondence.

We review and remove records when they are no longer needed, and we handle requests to delete identifiable records through the process linked below. We do not promise a fixed automatic deletion period for every type of record.

We use access controls and HTTPS connections to protect service access and data in transit. Access credentials and operational records are intended for authorized personnel. No internet service can guarantee absolute security.

7. Your choices and requests

To ask about personal information we hold, request access, correction, or deletion, or raise a privacy concern, email sales@elementzonline.com. Include enough context to identify the relevant enquiry or interaction. We may need to verify your identity or authority before providing information or acting on a request.

We review requests in accordance with applicable law and explain any limits, such as records we must retain for legal obligations. The rights available to you can depend on the law that applies to your circumstances.

Social media interactions

You can contact us to ask about information associated with your interaction, request correction or deletion, or ask us to review further automated replies to your account. We may need to verify that the request concerns your own account or content.

Follow our data-deletion instructions to request removal of automation records. Deleting your original comment in Facebook or Instagram does not by itself guarantee that a previously saved execution record has been removed.

Connected account administrators can also revoke the app's access using Meta's business integration or Instagram app settings. Revoking access prevents future authorized API access; removal of existing records requires a separate deletion request.

Meta controls copies of comments and messages held on its platforms. You can use Facebook and Instagram's own account and content controls to manage those copies.

8. Updates and contact

We may update this policy when our services or data handling changes. The date at the top of this page identifies the latest revision. For questions about this policy, contact sales@elementzonline.com.
